FAQs

Whether you are booking your first private jet flight out of Dallas, TX or you have been flying privately for years, our team is here to answer every question. Below are the most common ones. If yours is not on the list, call us at +1 (888) 987-5387 or send an email and we will get back to you promptly.

General questions

When can I reach you?

24/7/365. Someone is available to assist regardless of your time zone or your departure time. If you are booking a same-day flight or working through a weather delay, reach us directly at +1 (888) 987-5387.

Who do you work with?

We arrange flights for a broad range of clients across the DFW Metroplex: energy executives running frequent legs to Houston and Midland, corporate teams at companies headquartered in the region, sports groups, families traveling for leisure, medical transport passengers, and organizations moving time-critical cargo. If commercial aviation cannot serve your need, call us.

How do you protect my privacy?

All passenger and itinerary details are confidential. We share information on a strict need-to-know basis, with only the people directly involved in operating your flight.

How do you vet the operators and crew?

Before presenting any options, we review operator certification, safety and incident history, and whether the assigned pilots have experience and currency on the specific aircraft type. Fewer than 60 brokers worldwide hold Premium Wyvern Broker Member status, and Air Charter Advisors is one of them. That membership gives us access to Wyvern’s operator and pilot database as part of our process. We work with FAR Part 135 operators for on-demand private charter; FAR Part 135 is the FAA’s standard for on-demand, for-hire charter and carries stricter operating, crew, and insurance requirements than FAR Part 91, the rules for private, non-commercial flying that cannot be sold as charter. For group trips requiring an airliner-size aircraft, we work with FAR Part 121 operators, which carry stricter requirements still. For more details, see our safety and vetting page.

Can you arrange a flight when my company aircraft is unavailable?

Yes. We work with several corporate flight departments to fill the gap when a replacement aircraft is needed, whether the situation is a mechanical grounding, simultaneous trips that exceed your fleet, or a route that needs more range than your current aircraft can cover. With enough lead time, most arrangements can be made in four to six hours. Fractional owners can also supplement their plan with on-demand charter when they need aircraft outside their allocated hours or want to preserve their fractional balance for specific routes.

Do you offer shared flights?

No. We only arrange completely private flights under FAR Part 135 regulations or the foreign equivalent. By law, we contract with one entity per trip. You can put a group together and split the cost internally, but there is one contract and one responsible party for the flight. This is distinct from FAR Part 380 operations, where shared charter flights are sold to individual passengers.

What is an airport slot?

An airport slot is a prior permission from the airport authority and air traffic control to land or depart at a specific time. Slots are typically required at severely congested airports during major events when ramp and parking capacity are near their limits. For most trips through Addison Airport (KADS) in Addison, TX and Dallas Love Field (KDAL), slots are not required under normal conditions. We flag when a slot will affect your trip and coordinate accordingly.

Dallas airports and routing

Which airports do you use in and around Dallas?

For most DFW Metroplex trips, Addison Airport (KADS) in Addison, TX is the starting point: no commercial traffic, three FBOs (Atlantic Aviation, Million Air Dallas, and Galaxy FBO), 157 based jets, and a 7,203-foot runway that handles mid-size through large-cabin jets. Dallas Love Field (KDAL), six miles from downtown Dallas, has seven FBO operators and runways up to 8,800 feet, making it the better option when your destination is downtown, Uptown, or the Arts District. Fort Worth clients typically fly through Fort Worth Meacham International Airport (KFTW) in Fort Worth.

For trips outside the Metroplex, we use whichever airport puts you closest to your actual destination. We will recommend the right one when we present your first quote.

Can I fly internationally from Dallas?

Yes. Addison Airport (KADS) is a US Customs user fee airport and accepts international arrivals; confirm current CBP availability when your trip is booked. Dallas Love Field (KDAL) handles international arrivals Monday through Friday from 0800 to 1700 Central Time; after-hours arrivals require advance arrangement, and the maximum total persons per arrival at Love Field is 10, including crew. Dallas/Fort Worth International Airport (KDFW), serving the DFW metro, is a full port of entry operating 24 hours.

For international destinations, landing permits and authorizations are applied for after the trip is booked and the aircraft is secured. We handle that coordination. Timing is sometimes governed by the local airport authority at the destination, and we will keep you informed as approvals come through.

Do you handle Cowboys and Rangers game-day travel?

Yes. The Metroplex hosts the Cowboys at AT&T Stadium in Arlington, the Rangers at Globe Life Field, the Mavericks and Stars at American Airlines Center in Dallas, and FC Dallas at Toyota Stadium in Frisco. Major events at AT&T Stadium in Arlington trigger FAA security TFRs, so game-day travel requires awareness of airspace restrictions in the Arlington area. We factor TFR status into trip planning as a matter of course.

Booking and pre-flight

How far in advance do I need to book?

Depending on the route and aircraft availability, a private charter can be arranged with as little as six hours notice. Booking further ahead gives you more aircraft options, particularly during high-demand periods like Cowboys game weekends, State Fair of Texas weeks in October, and spring severe weather season when scheduling can tighten.

How do I decide on the right aircraft?

Your advisor works through the options with you based on the route, passenger count, baggage, and your preferences. If you want to browse aircraft types and cabin configurations beforehand, our aircraft guide covers the most popular charter categories. The final selection is yours; we make sure the aircraft is available, priced competitively, and clears our vetting process before presenting it.

What ID and documents do I need?

A government-issued photo ID is required for all domestic flights. Passports are required for international travel, and all international documents must be presented to the flight crew before boarding. Boarding is denied to any passenger who cannot produce proper documentation when required by law or customs.

Are there luggage limits?

Yes, and they vary by aircraft. Each aircraft has different baggage compartment dimensions and weight limits. When you book, tell your advisor what you plan to bring: number of bags, estimated weight, and any oversized or fragile items. Soft-sided bags maximize space on smaller aircraft. If you have concerns, call us before booking and we will walk you through the options.

Can you arrange my ground transportation?

Yes. With enough notice before your flight, we can coordinate ground transportation through a third-party vendor. Options include luxury chauffeured sedans, stretch limousines, Sprinter-style vans, and armored vehicles. Let your advisor know your preference when you book.

Do you arrange hotels, tours, or concierge services?

We focus on the flight. Hotels, tours, and concierge services are outside our core offering, though we have negotiated arrangements with various service providers and can point you in the right direction. The flight is what we handle end to end.

How does payment work?

Full payment is required at the time of booking. The preferred method is bank wire transfer, which may qualify for a cash discount of up to 5%. Corporate and personal credit cards are accepted; any discount is removed when paying by card. A valid credit card is also required as a guarantee for incidentals on all reservations. See your Charter Broker Agreement for current payment terms, which are subject to change without notice.

What happens after I book?

Your charter itinerary arrives by email. It confirms the reservation and includes: departure date and estimated departure time, flight segments arranged on your behalf, aircraft type, and any specific requests you made at booking. You will also receive the operator name and tail number before your departure.

Weather

What happens if there is bad weather?

The aircraft operator and Pilot in Command hold full authority over all go or no-go decisions. Your advisor monitors weather advisories in the days leading up to your departure and will reach out as soon as any impact on your flight becomes apparent. In North Texas, the main scheduling variable is convective weather from April through September. Afternoon thunderstorms can develop quickly, and spring systems can be severe. Morning departures typically offer the clearest window during summer months. If conditions require a change in timing, routing, or airport, you can expect your advisor to contact you as soon as we are aware.

In-flight questions

What is an FBO, and what should I expect at the airport?

FBO stands for Fixed-Based Operator, a private terminal on an airport. FBOs are where private charter passengers check in, wait, and board. Most FBOs offer a lounge, restrooms, and complimentary refreshments. Larger operators have more extensive facilities; smaller airports may use a general aviation building with minimal amenities. Your advisor will confirm what to expect at your specific departure and arrival airports before you travel. Addison Airport (KADS) in Addison, TX has three FBOs: Atlantic Aviation, Million Air Dallas, and Galaxy FBO. Dallas Love Field (KDAL) has seven FBO operators.

Do private jets have bathrooms?

It depends on the aircraft. Larger jets have a fully enclosed lavatory with a toilet, sink, and room to stand. Midsize aircraft may have a semi-enclosed lavatory with a privacy curtain. On the smallest aircraft, there may be a fold-up seat or no restroom at all. Your advisor will confirm the lavatory configuration when presenting options for your trip.

Is there a flight attendant on my flight?

Some aircraft require a flight attendant; others do not. If an attendant is not required on your specific aircraft but you prefer one, attendants may be available on request. Ask your advisor when booking.

Can I smoke on my flight?

Yes, on certain aircraft. Smoking requires advance notice so we can source a carrier that permits it. Let your advisor know before booking and we will take care of it.

Can I bring my pet?

Yes! We arrange private charter for pets and exotics that cannot or should not fly in commercial cargo. Not all aircraft accept animals in the cabin, so let us know about your pet up front and we will find a carrier that accommodates it. Sedation and caging requirements vary by breed, size, and trip length. Call us with the details and we will walk you through what the trip will look like.

What in-flight amenities are available?

Availability varies by aircraft. By request, we can arrange flights that include Wi-Fi, satellite phones, entertainment systems, and specialty catering. Additional charges may apply; see your Charter Broker Agreement. Let your advisor know your preferences when booking.

Who operates the aircraft on my flight?

The aircraft is operated by a certified third-party air carrier, not by Private Jets Dallas. We act strictly as your agent in arranging the flight. Once you select an option, we confirm the aircraft and you receive the operator name and tail number on your itinerary before departure. All flights operate under FAR Part 135 or Part 121 carriers or the foreign equivalent, who maintain full operational control at all times.

Disclosure under DOT Part 295: We always act strictly as the agent for the client, never as the operator.

How do you vet the pilots?

FAR Part 135 sets minimum crew requirements by aircraft type. Many aircraft we book operate with two pilots; some aircraft types are certified for single-pilot operations under Part 135. Beyond the regulatory baseline, we confirm that assigned pilots have experience and currency on the specific aircraft being flown, not just the general aircraft category.
